How RevolutionParts fixed $500K in annual revenue leakage

About RevolutionParts
RevolutionParts helps automotive dealers and parts sellers grow online revenue by making it easier to sell OEM (original equipment manufacturers) and aftermarket parts through digital channels. The company started by helping dealerships digitize a manual, phone-based parts buying experience. It has since expanded into SaaS subscriptions, marketplace transactions and integrations, tax compliance, shipping services, and other value-added services. Today, RevolutionParts supports roughly 2,500 to 3,000 clients and is working to create a more active, connected, and efficient parts network across North America.
The Challenge: Revenue Complexity Outgrew a Homegrown Billing System
Their legacy, in-house billing system no longer matched RevolutionParts’ evolving revenue model, resulting in the following key challenges:
- Revenue leakage from fees that should have been billed but were not captured consistently
- Limited visibility into contract terms, renewal timing, plan details, and monetized GMV (gross merchandise value)
- Billing errors tied to cancellations, downgrades, double billing, and missed invoices
- Manual work across ETLs (extract, transform, and load), journal entries, reconciliations, and billing validation
As RevolutionParts expanded from SaaS subscriptions into marketplace transactions, agency services, shipping, tax compliance, and usage-based revenue streams, its revenue operations became increasingly complex. The company’s homegrown billing system had been built for an earlier version of the business. As new products and revenue models were introduced, the team patched new logic into the existing system to keep up.
“As our business model innovated, our service offerings and revenue model changed. There were things just patched on to make it work. When I came in, I was inundated with so many support tickets, Slack messages, emails, and calls on, ‘Hey, our billing’s wrong,’ or ‘you double billed me,’ or, in very rare cases, ‘you didn’t bill me at all.’”
— Anthony Posillico, Senior Director, Finance & Accounting, RevolutionParts
That approach created growing pressure on the finance team. Billing issues led to a lot of customer support triage. Reporting was difficult beyond basic ‘revenue by client.’ The team struggled to understand details like plan mix, GMV monetization and upcoming renewal dates. In some cases, patched billing logic also created revenue leakage, leaving money unbilled.
Why Tabs: Identified Revenue Leakage While Reducing Manual Work
RevolutionParts evaluated several billing and revenue automation tools, including Salesforce Revenue Cloud and Chargebee. Anthony’s team needed a solution that could handle the complexity of the business without requiring a large implementation or forcing the company into an overly rigid operating model.
Tabs gave RevolutionParts a way to structure billing around its actual contracts, usage, payment workflows, and revenue models. The implementation process also forced the team to revisit contract data and clean up billing terms to align what customers were sold with how they were billed. That work surfaced hundreds of thousands of dollars in annual revenue that had previously gone unbilled.
“We went back and took a look at all of our contracts and structured them in Tabs. Tabs instantly drove four to five hundred thousand dollars in annual revenue that we weren’t picking up before.”
— Anthony Posillico, Senior Director, Finance & Accounting, RevolutionParts
With Tabs, RevolutionParts could move away from disconnected billing and accounting workflows. Billing activity now flows into QuickBooks, reducing manual reconciliation and improving audit readiness. The team also gained more flexibility to support different billing schedules, usage-based models, and new commercial arrangements that previously would have created too much manual work.
Contract-Based Billing
Tabs helped RevolutionParts structure billing around the terms already present in customer contracts. By reviewing and organizing those contracts in a way Tabs could accept, the team was able to identify fees that should have been billed (revenue leakage) and create a stronger connection between sales, delivery, and billing.
“There’s a lot of flexibility in the tool that’s helping us achieve some of these new ways of doing business that customers are really asking for. Going through this transformation improved cash flow, completely changed the way we thought about revenue models and what we can accept, and helped us identify revenue leakage.”
— Anthony Posillico, Senior Director, Finance & Accounting, RevolutionParts
Accounting System Integration
Previously, RevolutionParts’ billing system was not integrated with QuickBooks. Now, billing activity is reflected in the accounting system, which has reduced manual journal entries and reconciliations. That has been especially valuable as the company goes through its audit and needs faster access to reliable financial data.
Flexible Billing Schedules
Tabs helped RevolutionParts support more flexible billing schedules across different parts of the business. Instead of waiting until the end of the month to bill for large shipping or agency-related expenses, the team can support weekly, monthly, and other billing cadences in a cleaner way.
RevolutionParts can now support revenue models that were previously too difficult to manage. For example, if a customer uses a service, the team can bill that usage back one-to-one, then add related billing terms such as a marketing performance fee. That gives sales and revenue teams more flexibility to offer the commercial models that customers are asking for.
Life With Tabs: More Revenue, Better Cash Flow, and a Leaner Finance Operation
With Tabs in place, RevolutionParts has been able to modernize a key part of its quote-to-cash process while creating more operating leverage for the finance team. The company has grown revenue while reducing the size of the finance team from five people to four, and Anthony noted that the team is not “screaming for new people” despite sustained growth.
TL;DR:
- $500K in annual revenue leakage identified through contract and billing cleanup
- Finance team reduced by 20% while revenue continued to grow
- 10–20% month-over-month revenue growth after implementation
- Cut time spent on month-end close by 40%
- Billing validation work reduced from 6–8 hours to one with AI-enabled process improvements
- New revenue models unlocked for usage-based billing and performance fees
- Less manual work across billing, accounting, and reconciliation workflows
Tabs has also helped RevolutionParts improve working capital by changing when and how it bills for expenses the company fronts on behalf of customers. For agency clients, RevolutionParts may spend six or seven figures a month on Google before billing customers. For shipping services, the company can spend millions in a month. By creating more flexible billing schedules, the company can reduce cash flow swings and collect earlier against billable expenses.
“We’ve been able to reduce headcount while consistently seeing 10–20% revenue growth month-over-month. Our time to close was 10 days, and now we can close on business day six.”
— Anthony Posillico, Senior Director, Finance & Accounting, RevolutionParts
The impact has gone beyond back-office efficiency. With more accurate billing and more flexible revenue models, RevolutionParts can support the next stage of growth with greater confidence. The finance team has more control over revenue operations, while the business has more room to introduce the commercial models customers want.
